Editorial Guidelines for Eastman Weekly
About Eastman Weekly
Eastman Weekly is a campus-wide newsletter for students, faculty, and staff where important news and announcements are delivered on a weekly basis during the academic year. In addition to news items from various Eastman offices, it includes an opening letter from the dean with imperative news that also recognizes and congratulates students/faculty/staff for any recent achievements. Additionally, the newsletter highlights upcoming concerts and provides links to the concert calendar and Eastman Theatre box office website. During school breaks, Eastman Weekly runs on a reduced schedule that will be communicated through Eastman Weekly.
Submission Guidelines
We aim to make Eastman Weekly a quick and readable resource for the whole community. Data shows that readers only engage with newsletters for very short periods of time, so we have some guidelines to make sure your news is quickly digested, as well as to help us get the newsletter out in a timely way each week.
- The deadline for submissions to the newsletter is every Thursday at noon, unless otherwise communicated. News received after this deadline will be pushed to the following week’s newsletter. If you would like to receive a weekly news submission reminder, please email Anna Reguero (areguero@esm.rochester.edu) to be included on the mailing list.
- Please send news items to Anna Reguero (areguero@esm.rochester.edu) and Jessica Kaufman (jkaufman@esm.rochester.edu).
- Items for inclusion should be concise, summarizing only the most important details, and include all basic information (date, time, place, cost, etc.). Please utilize links to point readers to more substantial information about your news or event. Items may be lightly edited for brevity, clarity, and style consistency. We follow the University of Rochester in using the Chicago Manual of Style for consistency across communications.

- If the information lives on a webpage or was previously sent in another email, please utilize links to point readers to the full information.
- Event/date-driven information will have two chances to appear in Eastman Weekly: a first full item, and then as a shorter reminder the week of the event. Consider the timing when planning the dates you wish for your item/s to appear.
- Student/Faculty/Staff news should also be sent by the submission deadline. Please note: We do not include alumni news in Eastman Weekly. We will share alumni news in other ways, though, so be sure to send any alumni news to the Communications staff. For the alumni newsletter, please send information to Advancement at alumni@esm.rochester.edu. For the student newsletter, please send items to the Office of Student Activities at studentactivites@esm.rochester.edu.
- We accept photos for inclusion in the newsletter’s photo gallery, but cannot always include every photo submission. However, we are always happy to find other avenues to promote community photos, so do send them our way.
Who gets Eastman Weekly?
- All current students, faculty, and staff in the Eastman community automatically receive Eastman Weekly. Alumni do not receive the newsletter. If you have any questions about who is or isn’t receiving it, please contact Jessica Kaufman (jkaufman@esm.rochester.edu) and Anna Reguero (areguero@esm.rochester.edu).
