FACULTY POLICIES

Reserves

Faculty members and teaching assistants (TAs) can place items for course use on reserve at the Reserve and Recordings Desk. Reserve items include books, scores, sound recordings, and video recordings from both Sibley Library and other libraries in the U of R system, and personal copy items.  Electronic Reserves (e-reserves) are maintained in Blackboard.

A few weeks before the start of each semester, the Reserves and Digital Services Librarian will send out a notice and request for course reserve items. Please refer to this publication for any updates or change of policies. Reserve lists can be submitted in person, through inter-campus mail, or preferably, through email. Send reserve requests and any questions to gszymanski@esm.rochester.edu.

Please note that some items such as reference books and Interlibrary Loan materials cannot be placed on reserve. The librarian can request items from other U or R libraries such as Art/Music, Rush Rhees, and Miner Medical Library, but faculty and staff from the lending library have first priority over materials from other U of R libraries. The librarian can also place recalls or holds on items that are needed for reserve but that are charged out.

Electronic reserves

The Sibley Library offers electronic access to all materials through the Blackboard course management software. Articles, book chapters, etc. may be submitted as clean, single-sided letter-sized photocopies , or as Adobe Acrobat (.pdf) documents, to be viewed through the Adobe Acrobat Reader; alternatively, paper copies of articles can be submitted for eventual scanning by Reserve staff. Scanners are available for faculty and student use in the Listening Room.

Streaming audio

The Sibley Library offers streaming audio reserves to the Eastman community through the Blackboard course management software. Audio recordings are streamed by Reserve staff and linked into relevant Blackboard pages. Please note that we do not digitize/stream formats other than library-owned CDs. We cannot digitize/stream personal copy CDs, be they commercial recordings or “mix” CDs. Faculty are encouraged to digitize these kinds of recordings themselves and mount them in Blackboard as they see fit. Links can also be made to specific tracks or entire recordings in Naxos.

Recordings

The Reserve and Recordings Department provides access to the large collections of sound, video, and multimedia recordings of the Sibley Music Library. The Recording Stacks contain CDs, LP records, cassettes, DVDs, videotapes, videodiscs, reel-to-reel tapes, recordings from the Eastman Audio Archive, and multimedia items. As a library borrower, you provide the desk workers with call numbers for Recording Stacks items and they find the materials for you. Please note that all sound and video recordings are in accession (numerical) order, and cannot be browsed by looking at the shelves. As such, the Recordings Stacks are closed and not generally available for browsing. Recordings can also be placed on traditional reserve.

Authorized Borrowers

Who can borrow

Current students, faculty, staff members, alumni of the Eastman School of Music and the University of Rochester — essentially anyone with a valid borrower’s card — are eligible to use these items in-house, but faculty members, TAs, and graduate students have special privileges.

Faculty members and TAs can check out reserve items from the library for “class loan.” This means items such as books and scores (which normally circulate overnight), but also compact discs, collected works, and personal copy items (which normally do not circulate overnight), can be taken out of the library for three hours for classroom teaching use. This time limit can be extended on an as-needed basis. Faculty members and TAs can also charge out “green stickered” materials overnight.

Faculty members, TAs, and graduate students can also check out sound, video and multimedia recordings from the Recordings Stacks. These items circulate for one week and can be renewed, but are subject to recalls. Exceptions to this general rule include items such as Eastman School of Music Sound Recordings (recordings of recitals and concerts) and certain multimedia items, which cannot circulate from the library.

Faculty members may designate another person (for example, a TA or a family member) to be authorized to check out materials as a “proxy” in the faculty member's name. However, that faculty member is responsible for anything checked out by the authorized borrower, including recalls.

Most reserve books and scores can circulate overnight, and can be charged out during the last hour the library is open, but must be returned the first hour the library opens the next day. Faculty members, TAs, undergraduate students, and graduate students can check out “green-stickered” reserve materials overnight, but community borrowers cannot.

Some reserve books and scores cannot circulate over night. These are materials marked “restricted circulation”, “closed shelf” or “Non-circ” and do not usually leave the library without special permission. These items include certain books or scores in the M, ML, or MT collection, collected works, bound periodicals, and personal copy items. These “red-stickered” items do not generally circulate overnight.

Reserve sound recordings circulate for three (3) hours during library hours for “in-house” use only. These “red-stickered” items do not circulate overnight, and can only leave the library through class loan to faculty members or TAs with faculty status with special permission.

Overdues and Fines

As authorized borrowers, faculty members and TAs are generally not charged fines for overdue Reserve and Recordings materials. However, after a certain date of delinquency, the Voyager system automatically considers Reserve and Recordings materials as “lost” and assesses large replacement fines and fees. These are usually removed when the items are returned, but if at all possible, please renew your items so this won’t happen! Items that are not overdue can be renewed in-person, over the phone, or online using “My Account” in Voyager.

STUDENT POLICIES

Reserves

Faculty members and teaching assistants (TAs) place library materials on reserve for students to read, review, or listen to for course requirements. These items are shelved at the third floor Reserve and Recordings Desk. Reserve items may include books, scores, sound recordings, and video recordings from both Sibley Library and other libraries in the U of R system, and personal copy items.

Course reserve lists appear in the Blackboard page for each individual course.. Students can view the list of reserve items and then provide the desk workers with the call number of the materials requested. Please note that desk workers cannot “look up” call numbers for materials on reserve.

Items cannot be renewed but must be returned to the Reserve and Recordings Desk to be discharged and charged out again on an as-need basis. Students can only charge out three reserve items (or score/recording combinations) at one time, a policy that is strictly enforced.

Overdues and Fines

Overdue fines are charged to undergraduate and graduate students who have Reserve and Recordings materials out past the three (3) hour in-house time limit. Fines are based on how long the materials are overdue. Fines will also be assessed on “overnight” materials that are brought in after the one-hour library opening grace period.
