ESM Faculty & Staff Handbook 2009-2010

E-MAIL ADDRESSES AND POLICIES

You or your department head should contact Eastman Computing Services at x41160 to set up an account. Eastman has a contract with ITS to provide accounts for full- and part-time faculty and staff. ECMS faculty, union employees, and temporary staff are not typically eligible, but there are exceptions. Visiting faculty can have an account if they are going to be here for at least one semester. Assistance is available from Computing Services in creating a free webmail account for those not eligible for a School account.

Official Eastman addresses are formatted as “first initial last name” @esm.rochester.edu (e.g. "geastman@esm.rochester.edu").  Exceptions to this address format are noted in printed faculty and staff directories and all addresses can be found in the online directory http://www.rochester.edu/directory.

The accounts are from a bulk contract for full- and part-time faculty and staff. CED faculty and union employees are not typically eligible, but there are exceptions. Visiting faculty can have an account if they are going to be here for at least one semester. Temporary staff are not eligible for e-mail accounts.  Typically, assistance is available to departments in creating a free Web mail account on the Internet for temporary staff through the Technology & Music Media Office.

The Eastman School of Music provides students with an e-mail account upon matriculation.  The cost of the account is included in the student comprehensive fee.  Students can expect to receive official information regarding deadlines, policy/procedure changes, changes in degree requirements, special events, course schedule changes, regulatory changes, emergency notices, as well as other useful information from the Registrar, Office of Financial Aid, Office of Academic Affairs, Office of Graduate Studies, and information from academic departments.  Official messages will be sent to the University assigned e-mail address only – not to any other e-mail address.

Effective August 1, 2002, a student’s University assigned student e-mail account (mail.rochester.edu) became the Eastman School of Music’s official means of communication, usually replacing paper correspondence.  Students are responsible for all information sent to them via their University of Rochester e-mail account. It is expected that such communications will be received and read in a timely fashion.  If a student chooses to forward their University e-mail account, he or she is responsible for all information, including attachments and hyper-links, sent to any other e-mail account.

As  faculty,  you  are  encouraged  to  reinforce  this  policy  in  your  interaction with students.  Class listserves and message boards can easily be set up through ACCESS.
